Objective:
Under moderate supervision, the Insurance Benefits Coordinator I is responsible for intake of infusion referrals, entry of
prescriptions into the EMR system, insurance benefit verification, prior authorization coordination, scheduling of infusion
appointments, and financial assistance facilitation. This position plays a critical role in maintaining seamless
communication between providers, payers, patients, and internal clinic operations to ensure timely and accurate patient
care.
The Insurance Benefits Coordinator I works in coordination with the clinical and pharmacy teams and referring provider
offices to ensure prescriptions are accurately processed, secure insurance approvals, and facilitate financial assistance
for patients requiring specialty infusion therapies.
Essential Duties:
• Perform intake of new and refill infusion referrals, including collection of patient demographic, clinical, and
insurance/financial information.
• Enter new infusion prescriptions and clinical documentation into the EMR system.
• Contact physician offices to request missing clinical notes, lab results, or prescription refills.
• Verify insurance eligibility, benefits, and coverage for infusion medications and services.
• Submit prior authorization requests and follow up for approvals in a timely manner.
• Manage insurance appeal submissions as needed for denied authorizations.
• Inform patients of insurance coverage details, out-of-pocket expenses, and secure financial assistance.
• Enroll eligible patients in copay assistance programs and research other available financial support resources.
• Schedule infusion appointments based on clinic availability and medication shipment dates.
• Answer inbound telephone calls from providers, payers, and patients, routing appropriately and addressing
inquiries professionally.
• Receive and manage medication shipments from inventory within the clinic setting, adhering to company policy
and safety standards.
• Maintain accurate documentation of all communications, transactions, and patient account details.
• Participate in departmental PI (Performance Improvement) activities as requested.
• Follow all agency and departmental policies and procedures and ensure compliance with accrediting bodies,
state, federal, OSHA, and other regulatory standards.
Position Requirements
Basic Qualifications:
• High school diploma or equivalent.
• 2+ years of experience in a medical office, specialty pharmacy, infusion center, or healthcare intake setting.
• Strong verbal and written communication skills, interpersonal relationship skills, and problem-solving ability.
• Proficiency with EMR systems and insurance portals.
• Knowledge of insurance benefits, prior authorization, and copay assistance program processes.
• Excellent organizational, time management, and multitasking skills.
Work Environment Office and clinical setting. This position will be based in a clinic environment.
Physical Demands:
• Repetitive use of hands and fingers (e.g., computer keyboards, telephones,
filing).
• Sitting or standing for extended periods of time.
• Normal range of hearing and vision to perform work and communicate.
• Stooping or kneeling as needed (e.g., to access lower shelves or retrieve
items from the floor).
• Lifting and carrying loads up to 40 pounds for inventory management and
clinic support.
• Reaching above shelves.
Educational Qualifications:
• High School Diploma or equivalent
